Dublin A panel may be formed as a result of this campaign for Facilities Coordinator from which current and future, permanent and specified purpose vacancies of full or part-time duration may be filled. Purpose of the post: The Public and our staff expect high standards of safe building management systems The purpose of these posts are to; · Oversee daily management, supervision, and organisation of day to day facility management operations over multiple sites · Manage and coordinate facilities management contracts to include security, cleaning and catering · Assist in space planning exercises and implementing the outcomes of same · Administer internal communications to building occupiers where building operations are concerned · Participate in and support budget preparation, budget control, minor capital applications, accrual and forecasting processes in consultation with the nominated manager · Implementing and monitoring, KPIs and on-going review of the standards based on required specification for Facilities Management services · Responsibility for ensuring compliance with financial directives in relation to invoice payments, stock control and procedural cost effectiveness · Provide service cost analysis projections for changes to existing service areas and new service developments · Liaise daily with on-site contractor managers for outsourced services to ensure delivery of service as set out in the Service Level agreement (SLA) and to the standard specified · Participate in updating Building Cleaning Specifications in line with current policies and guidelines on Infection Prevention and Control · Manage, roster and supervise cleaning staff (HSE and Contract cleaners as appropriate) · Assist in determining a cost benefit strategy in relation to the provision of cleaning services in the future · Ensure Clinical and Waste Management agreements are monitored across sites · Manage and supervise Security staff (where applicable) · Provide general Administration · Provide a single point of contact with regards to the management of facilities · Significant experience in facilities management is essential. This includes the safe and effective management of buildings and audit of the safety systems in place. Must be familiar with both soft and hard facilities management.
