Transport Fleet Officer Grade V Clerical Officer Permanent Contract St. Michael’s House provides a comprehensive range of services and supports to men, women, and children with disabilities, and their families in over 200locations in the greater Dublin Area. It supports c. 2,300 people and this has an impact on thousands of family members. Role: St. Michaels House operate a fleet of over 170 vehicles across the greater Dublin area. The Fleet Officer will be responsible for the upkeep of the vehicles. The successful candidate will join a team of over 30 people, including the management and administration team, drivers, and escorts. Duties and responsibilities would include: · Ensure that the fleet of vehicles are serviced, maintained, and repaired as required. · Develop servicing schedules and support the various housing and day service units with the maintenance of their vehicles. · Assess damage, repairs, or upgrades as identified. · Source quotes for repair, maintenance, or upgrade works to the vehicles. · Prepare cap ex submissions for approval of expenditure. · Assist and support the Chief Assistant Technical Services Officer with developing and managing a fleet management program, including identifying opportunities for new acquisitions, and disposals. · Implement procedures for acquiring new vehicles and disposing of existing as agreed. · Ensuring vehicles are taxed and meet statutory compliance for use as assigned (CVRT, NCT, Motor Tax etc.). · Monitor and report on fuel usage, repairs and maintenance, and keep accurate records of budget spend. · Monitor and report on fleet utilisation. And create vehicle sharing options. · Work alongside the other Transport team members in ensuring a robust an effective transport service. · Complete other duties in the transport department as required, including providing cover for administrative tasks, or scheduling of Drivers, Escorts, and routes. · Complete other duties relevant to the Estates department as assigned by the Chief Assistant Technical Services Officer. Requirements Qualification / Skills / Essential Criteria: · Minimum NFQ Level 6 qualification, Trade Qualification, or similar relative to the management of a transport fleet. · 2 years working in a similar role, demonstrating experience in the duties outlined above. · Proficient in Microsoft Office 365 programs (Word, Excel etc.). · Hold a full clean Driving Licence. · Own vehicle that can be used for work (travel to various sites will be required. The post holder will be expected to communicate widely with operational departments in relation to material problems or delays. JOB SPECIFIC RESPONSIBILITIES:  The post holder will – 1. Be responsible for ensuring that all purchase orders are placed in a timely manner, delivery dates are agreed with the approved supplier and that delivery dates are met. 2. Ensure that all purchased orders have all the necessary approval documentation, as per SOPs (Standard Operating Procedures), before they are placed with the supplier i.e. specifications, approved samples, approved drawings, approved artwork, capital requisition forms, repair requisition forms etc. 3. Raise Item numbers on the purchasing systems for all items being purchased. 4. Ensure the purchase ordering systems is maintained and kept up to date at all times. 5. Liaise with the Client Services, Project Management and Scheduling Teams to ensure order materials are ordered and delivered in time to meet the scheduled production date. 6. Effectively resolve material queries, which have resulted due to Supplier non-conformances. This will include documentation procurement e.g. requesting the certificate of approval from a supplier when it was not included with the consignments documentation. 7. Be responsible, as part of the purchasing team, for the re-ordering of Almac Pharma Services consumable materials, laboratory requirements, engineering components and other general procurement. This will involve liaising with operational departments (eg Quality, Production, Engineering, Analytical, Client Services) to ensure their requirements are met. 8. Facilitate invoice matching by checking received quantities versus invoice quantity and invoice price against purchase order price. Follow up all invoice queries to a satisfactory resolution. 9. Responsible for the administration and filing, this includes – material and supplier specifications, purchase orders and confirmation of orders, and vendor queries. 10. Source new materials and suppliers as required 11. Prepare and present reports as required. The Clinical Specialist Podiatrist will be responsible for leading the development and provision of a high quality service to diabetes patients with those patients who are in-remission from diabetic foot ulceration (DFU) or Charcot arthropathy. There will be a shared transfer of care arrangement with the acute hospital. They will work closely with Acute Senior Podiatrist (Diabetes) and Acute Staff Grade Podiatrist (Diabetes) as well as the Integrated Community Diabetic Foot Protection Team. It will be necessary to connect and work closely with the multidisciplinary diabetic foot team members to promote integrated working. With the podiatry manager they will enable integrated working between the multidisciplinary foot team and the foot protection team and help coordinate the management of the diabetic foot in the local region. This will also facilitate and assist with CPD and learning. In this role, the Clinical Specialist Podiatrist will be responsible for the co-ordination of strategic planning and development of specialist diabetes foot services in the community setting, participation in clinical research, and training for hospital and community staff in diabetic screening foot disease and collaboration in multi-centre studies on the various aspects of managing and treating the foot in diabetes. The Clinical Specialist Podiatrist will work as part of the diabetic foot protection teams to provide a quality, person-centred, evidence-based podiatry service to meet the needs of service users in the community setting. Eligibility Criteria: 1. Statutory Registration, Professional Qualifications, Experience, etc (a) Eligible applicants will be those who on the closing date of the competition have the following: (i) Be registered, or be eligible for registration on the Podiatrists Register maintained by the Podiatrists Registration Board at CORU. AND (ii) Have five years full time (or an aggregate of five years) post registration qualification experience.
