HOURS: Full-time (36 hours per week) You will be required to work 36 hours per week between the business hours of the campus as set out below. Part-time workers will work agreed hours within the opening times below. Business Hours – Term Time: • 8.30am to 7.00pm Monday to Thursday • 8.30am to 4.00pm Friday (subject to the requirements of the campus) Business Hours – Non-Term Time: • Core business hours from 8.30am to 4.00pm (36-hour working week to be completed between 8.00am and 6.00pm) Part-time hours are also available. SALARY/GRADE: Band 3 (£25,583–£25,989) MAIN DUTIES & RESPONSIBILITIES General Duties • Adhere to operational procedures in delivering a quality service within the College. • Provide a high-quality administrative support service at all times, including but not limited to: o Organising meetings and taking and distributing documents and minutes o Dealing with incoming and outgoing mail, telephone calls, email and SMS • Collate, verify, quality check and manage primary documents, escalating issues as appropriate. • Support delivery of the College Admissions and Retention process, including enquiries, applications, enrolments and fees. • Provide excellent customer service and communicate effectively with the diverse student body and a range of internal and external stakeholders. • Process Education Maintenance Allowance administration. • Administer AccessNI SOSCARE checks. • Support marketing and events. • Support student funding processes. • Carry out telephone and reception duties. Financial Processing • Adhere to Financial Operation procedures and guidelines, including: o Preparing bank lodgements as required o Purchasing materials and resources as directed o Ensuring invoices and purchase orders are properly completed, authorised and passed to finance for payment o Ensuring student refunds are processed in accordance with the Refund Policy o Collating documentation to support payments processing for college contracts Data Management • Maintain College Information Systems. • Cleanse data as directed to ensure data integrity. • Assist with reporting statistical information obtained from all College information systems. • Monitor, evaluate and report on student attendance. General • Ensure effective application of health and safety procedures for all staff and learners within the Department. • Contribute to the achievement of the College’s mission, values and strategic directions. • Act as Fire Marshal or Fire Warden if directed. • Carry out the role of First Aider if directed (subject to College policy and procedures). • Promote, implement and ensure compliance with statutory obligations and College policies, including the Equality Scheme and Equal Opportunities Policy, and actively promote equality and good relations in all aspects of College business. Personnel Specification Essential Criteria Qualifications • 5 GCSEs including English and Maths at Grade C or above (or equivalent) AND 1 year’s administrative experience. English GCSE Grade C+ OR Essential Skills Level 2 (or higher) in Communication Maths GCSE Grade C+ OR Essential Skills Level 2 (or higher) in Numeracy Experience • Experience working with confidential information (e.g., personal or financial details). • Experience planning and organising administrative tasks. • Experience providing excellent customer service. • Demonstrable experience using Microsoft Office applications including Outlook, Word and Excel. The candidate will be responsible for the management and enhancement of the tree stock within Fermanagh and Omagh District Council’s parks. The Tree Officer will be responsible for planting, maintaining, and protecting trees while ensuring the implementation of sustainable management practices to improve biodiversity, contribute to climate action, and create safe, attractive green spaces for the local community. The postholder will be a member of the Senior Management Team (SMT) in the Armagh Observatory and Planetarium (AOP) and will share corporate responsibility with the Director for providing strategic direction and corporate leadership for the organisation in support of its vision, mission and values.
