Administrative Vetting Assistant

About The Role The purpose of the Administrative Vetting Assistant role is the provision and processing of Garda Vetting and Work Permit validation as appropriate for all Mater hospital staff, contractors, students and volunteers. The Administrative Vetting Assistant will also be responsible for carrying out a variety of administrative duties to ensure an efficient and effective service to the Human Resources Department. Key Role and Responsibilities include and are not limited to the following: • Process all Garda Vetting applications in a timely manner • Manage information through Microsoft Excel and Garda Vetting database processing, as per hospital policy and legislative requirements • Follow up with applicants throughout Garda Vetting journey, both via email and over the phone • Follow up with applicants on any queries which may arise from time to time • Vetting Administrator may also be assigned Visa Expiries to process (liaise with employees who have upcoming working permit expiry dates regarding collection of updated work permit information/documentation and logging on the HR database) • Escalate any employees with expiring Work Permits to the line manager if not in receipt of suitable or timely updated documentation • Receive, make and action telephone calls and enquiries in a timely manner and refer to the appropriate personnel as necessary • Ensure that all identification documents are cross checked, uploaded to the HR Database and return any original documents received from personnel in a safe and confidential manner • Verify, amend and add relevant information on HR personnel system as required • Assist with Implementation of new excel reports including uploading and deletions of personnel • Attend internal meetings and follow up on any related actions as required • Liaise with the National Vetting Bureau on related queries as and when required if you are a designated Liaison • Adhere to strictly confidentiality when dealing with all documentation / information • Assist with all general administrative duties including data entry, photocopying and scanning • Assist in cross-cover and training within the HR Department as required • Present MMUH in a professional manner at all times • Carry out other such administrative duties as may be assigned from time to time Person Specification Qualifications • Leaving Certificate or Equivalent Experience • At least 2 years administrative experience • Experience in busy working environment Organisational Knowledge • Knowledge of the Organisational Structure of the Mater Hospital Professional Knowledge • Good knowledge of Microsoft Excel and Word • Processing and presenting data Capabilities • Communication • Influence and Collaboration • Resilience Competencies • Ability to work both independently and as part of a team • Attention to detail and accuracy in all aspects of work General Responsibilities and Accountabilities Confidentiality You will be aware of the confidential nature of Hospital work and in particular, the right of patients to confidentiality. Policies and Procedures You are required to familiarise yourself with and adhere to all policy and procedural documents relevant to your position. Hygiene Standards The highest standard of hygiene must be maintained in the Hospital at all times and all staff members are responsible for ensuring compliance with the Hospitals requirements and standards with regard to hygiene. It is the responsibility of all staff to have a fundamental understanding of their individual responsibility in maintaining departmental and site hygiene standards. Health and Safety Ensure that effective safety procedures are in place to comply not only with the Safety, Health and Welfare at Work Act 2005 but also within the spirit of the Hospital’s mission, vision and values, and they are known and followed by staff. You are required to familiarise yourself with the requirements of employees under the Safety, Health and Welfare at Work Act 2005 and to promote a work environment that is compliant with the Safety, Health and Welfare at Work Act 2005. Each staff member is individually responsible for ensuring that the Hospital remains a safe place to work. Information Technology Ensure the most effective and efficient use of developments in information technology for administrative support in a manner which integrates well with systems throughout the organisation. Business Continuity Management Business Continuity Management (BCM) is a holistic management process that identifies potential impacts that threaten an organisation and provides a framework for building resilience and the capability for an effective response that safeguards the interests of its key stakeholders and reputation (BS 25999).
