Distribution Coordinator

OVERALL ROLE OBJECTIVE: The DX CR Distribution Coordinator will be the primary contact for distribution activities within Almac Diagnostics Services clinical trial studies. The role will provide support to the Senior Distribution Coordinator by performing, monitoring and accepting full accountability for all assigned duties associated with the role. He/She will ensure that agreed timelines are met and queries resolved to the satisfaction of the client. This will involve prioritising shipping orders, liaising with couriers, providing technical advice, compiling, and reviewing high-level work instructions in accordance with client requirements for use within the distribution process. JOB SPECIFIC RESPONSIBILITIES: The post holder will: Courier Management 1.           Coordinate with all parties in chain of custody to ensure all relevant insurance is in place to cover potential risks of loss or damage. 2.           Provide clear guidance on courier selection to internal and external clients, including maintenance of courier decision trees. 3.           Perform risk assessments on high value shipments to identify the best shipping solutions and courier selection. 4.           Liaise with approved couriers to ensure the most cost effective and efficient service is provided to meet client requirements 5.           Liaise with approved couriers to ensure key milestones are being met 6.           Liaise with couriers to arrange quotations, timelines, collections, onward shipping details and proof of delivery Export & Import 7.           Work with approved couriers to establish import/export protocols for all countries shipping samples for diagnostic testing. 8.           Plan and organise country specific requirements for each protocol, ensuring that requirements are identified and communicated to allow for the timely processing of the sample collections e.g. pro-forma invoices, import licenses. Internal / External Client Facing 9.           Act as the primary point of contact for assigned distribution protocols. 10.        Generation of dispatch paperwork to ensure all orders are processed ito meet the required shipping dates. Track and trace shipments with couriers after they have been dispatched to ensure they have or will be delivered on time 11.        Communicate effectively with the client contacts for ongoing distribution protocols. Ensure clients are provided with all of the relevant distribution information required. 12.        Provide regular updates to client contacts on order timelines and delays. Respond to clients on shipment queries, ensuring all queries are followed through. 13.        Prepare and provide regular protocol specific shipping reports as agreed with the client. 14.        Undertake clerical duties in accordance with Good Manufacturing Practice and as detailed in the relevant Standard Operating Procedures. Report any deviation from procedure to Senior Distribution Coordinator. 15.        Generate and maintain monthly logistics KPI metrics (Key Performance Indicators) for assigned customers. 16.        Review new or revised logistics instructions providing technical support to the project team when necessary. 17.        Assist in determining the best temperature-controlled shipping systems and couriers to be used to handle temperature sensitive material. 18.        Operate at any Almac Diagnostics site. 19.        Other duties as deemed appropriate by the Supervisor/Manager and that fall within the general remit of the post QUALIFICATIONS GCSE (or equivalent) in English language and Mathematics, grade C or above A Level qualification or equivalent EXPERIENCE Knowledge of distribution and documentation requirements KEY SKILLS Experience in the identification and creation of work instructions in accordance with client requirements. Job Purpose: The post holder will be responsible for supporting the Infrastructure and Cyber Security Lead in the implementation, management and monitoring of all technical solutions within the College IT Infrastructure and Network systems, including crossover to Cyber Security systems. Each post holder is expected to contribute to both key areas of Operations and Projects. Location: The post location will be confirmed with the successful candidate. To ensure the highest level of system performance and availability through effective planning and management with use of appropriate tools. To monitor and report on all aspects of network usage to include quality of service and bandwidth utilisation. To enable and manage all College remote access systems for appropriate users in a robust and secure manner to incorporate MFA for all such systems. To ensure that all systems, including both configurations and data, have robust backup, reporting, restore and testing procedures in place. To work with the Infrastructure and Cyber Security Lead to ensure appropriate technical procedures and policies are in place for all College devices. To keep fully updated with current legal and industry standard requirements, current technologies, and threats to protect against. To assist the Infrastructure and Cyber Security Lead in the development, review, implementation and testing of the College’s Business Continuity and Disaster Recovery plans, and to monitor systems and respond to incidents. To conduct regular reviews, and participate in College audit arrangements ensuring appropriate IT compliance procedures are in place for infrastructure and network systems. To support the Infrastructure and Cyber Security Lead on procurement and contract management for equipment and services within your area of responsibility.
