Main Duties & Responsibilities • Support the SDU Project Lead in the management of day-to-day aspects of all Outpatient Department services with emphasis on outsourcing, insourcing, validation, and data cleaning. • Liaise with the SDU Project Lead and with Information Technology regarding data extracts, specialities, and criteria for Outpatient Department waiting list validation, outsourcing, and insourcing. • Liaise with the National Centralisation Validation Unit (NCVU) within the National Treatment Purchase Fund. • Assist with the management of the Outpatient Department Waiting List Validation process as outlined in the SDU National Protocol. • Manage MailMetrics and PAMS data inputting and all documentation generated from the validation and outsourcing on an ongoing basis. • Assist with the management of patients outsourced to a Private Provider from patient consent through to discharge from the treating hospital. • Assist with organising insourcing through setting up and booking clinics, sourcing referrals, confirming patients, and invoicing. • Correlate data for the SDU Lead for the issuing of ongoing reports to the Chief Executive Officer, Consultants, Outpatient Services Management Group, and other internal and external requests. • Liaise with patients, General Practitioners, Private Providers, National Treatment Purchase Fund, National Centralisation Validation Unit, and other sources of referrals for various queries relating to outsourcing, insourcing, and validation. • Work extensively with iPM’s, MailMetrics, PAMS, Microsoft Excel, and PowerPoint to generate the required reports on validation and breaches. • Organise all documentation and databases in relation to outsourcing, insourcing, and validation. • Report on all documentation which may arise as a result of outsourcing. • Organise and update all data cleaning reports and liaise with Outpatient Department Supervisors and Central Appointments staff in relation to same. • Review data quality on an ongoing basis including management of duplications and liaise with Information Technology regarding electronic merge requirements. • Liaise with the Central Appointments Office in relation to managing waiting lists, dealing with telephone queries, managing General Practitioner referrals, and issuing appointments when required. • Assist with the management of the National Treatment Purchase Fund Outpatients Waiting List weekly report in line with the SDU Outpatient Department Protocol. • Liaise with Staff Officers and Assistant Staff Officers in all Outpatient Department areas in relation to any queries that may arise. • Attend meetings to take notes as may be required from time to time. • Attend training as required in relation to SDU Protocol or processes relating to all aspects of outpatient waiting lists. • Work cooperatively within the group and across departments and services to achieve goals. • Foster a collegiate environment. • Have the ability to understand and be tolerant of differing needs and viewpoints. • Provide information, instruction, and training to staff members under your remit, if applicable, in the context of management of Health & Safety such as Personal Protective Equipment usage, chemical safety, etc. • There is a responsibility on all staff to participate in internal and external audits and reviews as appropriate. • Work in a manner with due care and attention to the safety of self, patients, staff, and other persons in the workplace with reference to the Safety, Health and Welfare at Work Act 2005. • Report immediately to Line Managers or nominated persons any accidents or incidents involving patients, staff, and/or members of the public in line with hospital policy. • Comply with and be familiar with all hospital policies and procedures, particularly those relating to Safety, Health and Welfare, Infection Control, Hygiene, Risk Management, and Decontamination. • Attend and participate in meetings and events as may be required from time to time. • Undertake any other duties as may be assigned by the Chief Executive, Administration Services Manager, SDU Lead, or other designated Officer from time to time. Note The rate and pace of change in the health service is such that the post holder will be required to update their knowledge and skills to fit the changing requirements of the service. Status of Post The post is temporary, part-time, and pensionable. 3. Annual Leave Annual leave and public holidays are granted in accordance with the provisions of the Organisation of Working Time Act 1997 and in conjunction with Hospital policy and compliance with national circulars governing leave. Public holidays are dealt with in accordance with the provisions of the Organisation of Working Time Act 1997 as reflected in the Annual Leave and Public Holiday Policy. The annual leave entitlement is 28 days per annum (pro-rata for part-time basis). 4. Working Hours 17.5 hours per week. Flexibility in consideration of service needs is required. You will be required to work the agreed roster and on-call arrangements advised by your Line Manager. Your contracted hours of work are liable to change between the hours of 8:00 a.m. and 8:00 p.m. over seven days to meet the requirements for extended-day services as may be introduced by the Hospital. 5. Superannuation There are various Superannuation Schemes in operation. You will be a member of the scheme relevant to you based on your entry date to the public service and previous service, if any. You will be issued with the relevant superannuation information directly from the Superannuation Section, Wages & Salaries Department, in due course. 6. Performance Monitoring Performance and conduct of the person appointed to this role will be monitored on an ongoing basis to determine suitability for continued employment in this role. Substantive postholders appointed to a temporary position are also subject to performance management and any issues that may arise will be dealt with under the Hospital’s disciplinary procedure. Termination of this appointment within or at the end of the contract for the role will be at the discretion of the South Infirmary-Victoria University Hospital. 7. Notice When resigning, the post holder is required to give one month's notice in writing prior to resigning the post or, in default, to forfeit one month's salary, to be deducted as liquidated damages from any remuneration due at the time of resignation.
