GENERAL: Transport Infrastructure Ireland (TII) was set up to deliver and operate safe and efficient light rail and national road networks. TII’s mission is to deliver transport infrastructure and services that contribute to the quality of life of the people of Ireland and support the country’s economic growth. In 2021 TII was delegated additional functions in relation to Active Travel and Greenways. TII is progressing a National Cycling Strategy, is now the Approving Authority under the Public Spending Code for rural Greenways and is actively engaged in the planning and design of other active travel facilities. TII delivers on Government Policy as set out in the National Planning Framework, The NDP 2021 to 2030, The National Investment Framework for Land Transport, The Climate Action Plan 2023 and The Road Safety Strategy 2021 to 2030. ROLE, DUTIES AND RESPONSIBILITIES The principal duties of the position will include: • Organising meetings, preparing meeting packs, taking minutes, recording actions • Preparation of and monitoring and reporting on department/project/contract correspondence • Assisting with preparation of presentations as required • Corresponding with internal and external parties including receipt and filing of incoming and outgoing correspondence, distribution of same and tracking of progress as necessary • Creating / maintaining good quality and effective records/filing systems and conduct document searches – using document control systems as required • Maintaining individual or team diaries • Conducting routine accounts work, raising purchase orders, processing invoices and preparing spreadsheets • Conducting routine administration/technical tasks as they arise for relevant departments • Working with Word, Excel, databases etc. – data entry and data checks/reviews. Using Microsoft Office packages (Word, Excel, Outlook and Powerpoint in particular) • Providing assistance on MS Teams (including webinar production and similar), other shared access platforms and file repositories • Co-ordinate/prepare for project/departmental events • Supporting fellow team members and line managers as may required • The provision of cover for TII Reception as may be required in the absence of reception staff. • Undertaking such tasks and duties as may be assigned appropriate to the grade. Key responsibilities: · Working with multi-skilled team in a hands-on environment · Manage/Carry out and coordinate all planned and reactive maintenance. · Ensure upkeep of all site safety procedures and compliance (permitting, risk assessments, method statements, SDS, COSHH etc.) · Ensure job closures are completed in timely manner. · Ensure that monthly targets for KPI’s for PPM and Helpdesk are met. · Ensure all service reports are reviewed and remedial work captured and organised. · Where applicable provide hands on support for other site staff. · Undertake works as directed by the Site Manager. · Respond in a timely manner to verbal and written requests. · Report accidents in a timely manner. · Ensure HSQE standards are maintained and promote best practice and site-specific core values. · Ensure company operating procedure is adhered to. · Report any unsafe activities / risks promptly to the Site Manager and HSQE Manager · Working schedule includes being part of an out of hours on-call rota. Our premise is simple: the exceptional, every day. About the role: We are currently seeking to hire a General Maintenance Operative for a permanent opportunity, based in Dublin 2. Maintenance operatives are required to work core office hours of 07:30 to 16:30 and 09:00 to 18:00 Mon-Fri. They will report to the Hard Services Facilities Manager List of duties includes but is not limited to the following: • Daily spot checks and walkthroughs of office floors, comms rooms and critical plantrooms  • Report findings to FM Team so tickets can be raised on Facilities help desk system  • First response to requests and tickets raised through the Facilities help desk system • Closing out Help desk tickets • Point of contact for contractors arriving on site and ensure Health & Safety documentation including Permit to Work is completed where applicable  • Once signed into site escort contractors to location of work • Carry out Room Set Ups as required by Business School and other Business Units • Porterage of heavy parcels, equipment and miscellaneous items • Replacement of lamps and repair of Building Fabric as required • Carry out minor office moves and changes in-house • Supervision of larger office moves and changes completed out of hours • Be available for out of hours assistance as required e.g. leaks • Carry out regular audits of plant & equipment and office furniture ensuring that management of stock and critical spares are adequate to reduce/eliminate downtime • Have the ability to use the Building Management System (BMS) when required • Ability to determine faults with Electrical & Mechanical Systems • Run weekly Fire Alarm Tests • Provide cover as required to other city centre site in IFSC • Complete other ad hoc tasks as requested by the Facilities Helpdesk or Manager About You: • Experience in a similar facilities role working within a fast-paced office environment • Experience of working with Mechanical and/or Electrical equipment preferable • Dependable and flexible, able to work independently as well as part of a team • Excellent communication, interpersonal and organisation skills • The ability to communicate effectively, both over the telephone and face to face is essential • Planning and organisational skills as the role requires balancing and prioritising various duties • Ability to accurately complete tasks assignments & responsibilities in timely manner • Hold a Valid Safe Pass/Fire Warden/First Aider Certification • A good knowledge and understanding of Safety, Health and Welfare at work regulations • Educated to Leaving Certificate Level • Knowledge of MS office packages is desirable – Outlook, Word, Excel.
